Privacy Policy

Introduction

The protection of personal information is important to the Snowmobile Association of Massachusetts (SAM). We have policies and procedures dealing with the protection of privacy.

Collection, Use and Disclosure of Personal Information

Our organization collects only that information that is needed to administer member services and activities directly relating to the Association.

This information is collected for the following purposes:

  • For the administration of member services such as, but not limited to:
    • Membership contact and updates
    • Award programs
    • Scholarship programs
    • Conference and events
    • Sponsored programs
    • Member benefits
    • Member communication/information

Because we do deal with individuals as members and non-members (i.e. at events like the annual Sled Expo), we collect the following types of personal information:

  • Name
  • Address and telephone number
  • Email
  • Member trail pass if applicable

Consent

Individuals consent to SAM collecting and using personal information as outlined above when they register online for an event, submit a contact form, become a member of a SAM club either directly with the club or their representative and/or the SAM online system.

Storing your personal information

We keep personal information for as long as is necessary for the purposes outlined above and we may retain membership files for historical purposes. We are also required by law to maintain certain records for set amounts of time. We have appropriate safeguards in place to protect personal information and when we no longer need the information it is destroyed. We try to keep personal information as accurate as possible and members can assist us by providing us with updated information when necessary.

Access

Both site visitors and SAM members have the right to access the personal information we hold about them. An individual can access personal information by making a request to the Executive Director. If some of the personal information on file is incorrect he or she can request that the information be corrected.

Accountability

We apply our best efforts to protect the privacy of all site visitors. Any concerns can be submitted to the Executive Director. If concerns are not resolved, the Executive Director can provide information on making a formal complaint regarding this policy.

Personal information shall be protected by security safeguards appropriate to the sensitivity of the information. The Snowmobile Association of Massachusetts shall take reasonable precautions against theft, unauthorized access, disclosure, copying or use. The Association shall also use care in the destruction of personal information and will never ask for social security numbers and/or driving license information. In addition, your information is never sold, leased and/or provided for solicitation. It is the sole use of the Snowmobile Association of Massachusetts and the club joined (if applicable).

Media

If images are uploaded to the website, avoid uploading anything with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Your name, email address and IP address are collected and stored in our website database if/when you comment on and/or rate images on our website.

Contact forms

By submitting our various contact forms you are authorizing SAM to retain your contact information (name, email address, etc.) for future contact. Future contact includes replying to your inquiry as well as details regarding the association.

Event, venue, and organizer information

If you create, submit, import, save, or publish Event, Venue, or Organizer information, such information is retained in the local database:

  • Venue information: name, address, city, country, state, postal code, phone, website, geographical coordinates (latitude and longitude)
  • Organizer information: name, phone, website, email
  • Event information: website, cost, description, date, time, image

API keys

We make use of certain APIs, in order to provide specific features.

These APIs may include the following third party services: Google Maps (API key), Meetup (OAuth token), PayPal (email, Client ID, Client Secret), Eventbrite (API key, auth URL, Client Secret), and Zoom (email, Client ID, Client Secret).

Cookies

The ability to leave comments on our website is currently turned off. However, if in the future you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

We use Google Analytics to measure traffic on our website. Google has their own Privacy Policy which you can review here. If you’d like to opt out of tracking by Google Analytics, visit the Google Analytics opt-out page. These statistics obtained through Google Analytics  may include the number of times our service is accessed by a certain operating system, a type of browser, a language, etc., but we don’t know anything about individual users.


Who We Share Your Data With

We do not share your Personal Data with strangers. Personal Data about you is in some cases provided to our trusted partners in order to either make providing the service to you possible or to enhance your experience. We may share your data with:

We only work with processing partners who are able to ensure adequate level of protection to your Personal Data. How Long Data Is Retained

If comments are turned on and you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.


What Rights You Have Over Your Data

If you have an account on this site, or have left comments, you can request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
